Project Assistant (Multi-Company Support Role)
Location: Cape Town South | Remote with onsite project visits as required
Role type: Permanent
Salary: Up to R50 000 pm
 
Overview
We are looking for a capable, detail-driven Project Assistant to support multiple businesses involved in planning, construction and related ventures.
 
This role is for someone who brings order to busy environments. You will help keep projects moving, ensure information is handled correctly, and support senior stakeholders with structure, follow-through and discretion.
 
Key Responsibilities
Project & Task Coordination
    • Track tasks, actions and deliverables across multiple projects and companies
    • Follow up with internal and external stakeholders to ensure deadlines are met
    • Support day-to-day project coordination across planning and construction activities
Diary & Stakeholder Support
    • Manage and prioritise senior stakeholder diaries across multiple businesses
    • Coordinate meetings, site visits and key milestones
    • Proactively flag clashes, risks and delays
Meeting Support
    • Take accurate minutes during meetings
    • Produce clear action lists with owners and deadlines
    • Follow up to ensure actions are completed
Data Room Management
    • Manage the structure, access and permissions of the data room
    • Maintain and organise sensitive documentation, including:
        • Financial models
        • Permits and approvals
        • Planning and construction documentation
    • Ensure confidential or incorrect information does not end up in the wrong hands
    • Maintain clear version control and logical file structures
Documentation & Communication
    • Proofread documents and identify obvious errors before circulation
    • Maintain high standards of accuracy and presentation
    • Handle telephone communication professionally and confidently
 
Skills & Experience
    • Strong working knowledge of Excel, Word and PowerPoint
    • Excellent attention to detail
    • Comfortable working with confidential and sensitive information
    • Strong written and verbal communication skills
    • Able to manage multiple priorities across different businesses
    • Fast learner with the ability to understand new environments quickly
